Hello again to our returning volunteers, and a warm welcome to those joining us for the first time this year! We’re incredibly grateful that you’ve chosen to be part of Imagine. Volunteers are the heart of the Imagine Music & Arts Festival, playing a vital role in making the event a success. With so many moving parts, your commitment and dedication are essential to keeping everything running smoothly. As a volunteer, you’ll gain access to the festival, connect with new people, and play an important part in creating an unforgettable experience.

Please read the following information for important changes to the 2025 Imagine Festival Volunteer protocol.

What we ask for

This year we are requiring 12-14 hours minimums (in most cases 3 shifts) in exchange for a GA ticket. Parking passes and car camping passes are not included. Early Entry is only included for volunteers that are confirmed for pre-event shifts.

Just like every year we will ask for a credit card to be put on file. This assures that people are held accountable for the commitments they make. This information will be collected by our intake form which is PCI compliant, meaning it is secure for taking and holding credit card information. Credit card information will be destroyed after the event.

There is a $40 sign up fee for all volunteers. You are not confirmed as a volunteer until you pay the $40 volunteer sign up fee. The Volunteer sign up fee is non-refundable.

The only thing that will be charged to the card is the volunteer fee unless you are a no-show for your shift, in which case the card will be charged for the full price of the festival ticket.

To sign up you will need to do 2 things. Fill out the intake form with your information and sign in to Volunteer Scheduler Pro to select your shifts. The web browser is much easier to interact with than the phone version. Note these must be confirmed! If you do not see confirmation emails in less then a week, email me directly to check in.

If you receive your festival ticket and do not show up for your shifts, we will charge the full price of the festival ticket to the card on file. If there is confusion, and I contact you while we are live regarding the hrs you have committed to, it is your responsibility to clear this up in person.

Cancellations:
Cancellations are a big headache for us as it leaves us hanging and we have to fill the roles on short notice.

All cancellations must be received before Aug 15th (three weeks before the event). Cancellations made after that time will be charged as no-shows equal to the cost of a full price ticket.
